What is the most important KPI for a PayFac?
There is no single one, but acceptance rate by provider and merchant is usually the first to watch, because it affects revenue directly. It should be read with decline reasons, so the operator can separate issuer declines it cannot change from technical errors and rules it can fix.
In detail
There is no single one, but acceptance rate by provider and merchant is usually the first to watch, because it affects revenue directly. It should be read with decline reasons, so the operator can separate issuer declines it cannot change from technical errors and rules it can fix.
Start with acceptance
Acceptance rate, the share of authorization attempts approved, is the number that moves revenue most directly: every point of acceptance is a point of sales for merchants and a point of volume for the PayFac. Read per provider and per merchant, it shows where payments are lost and who loses them.
Read it with reasons
- Issuer declines the operator cannot change: insufficient funds, lost or stolen cards.
- Declines the operator can influence: soft declines, authentication requests, technical errors, misrouted card types.
- Rule-based declines from the operator's or the merchant's own risk settings.
The next KPIs
Chargeback and fraud ratios per merchant against scheme thresholds, since they decide the PayFac's standing with its acquirer. Cost per transaction by provider and card type, which feeds routing. Time to onboard and time to first transaction, which measure the sales funnel. Settlement and reconciliation exceptions, which measure operational health. No single KPI covers a PayFac, but acceptance rate with decline reasons is the one to put on the first screen, because it is the one merchants ask about.
